Napiers Loyalty Program Terms & Conditions

These Terms and Conditions govern membership and participation in The Napiers Reward Club (the “Program”), operated by The Edinburgh Herbal Dispensary t/a Napiers the Herbalists (“Napiers”, “we”, “us”, “our”), a company registered in Scotland under Company Number SC420375, with its registered address at 18 Bristo Place, Edinburgh, EH1 1EZ, United Kingdom.

By joining or participating in the Program, you agree to be bound by these Terms. Please read them carefully. If you do not agree, you should not join or continue to participate in the Program.

1. Eligibility

  • The Napiers Reward Club is open to everyone, including customers based outside the United Kingdom.
  • There is no minimum age requirement to join, though purchases of age-restricted products remain subject to applicable legal requirements.
  • Napiers employees are eligible to participate in the Program on the same terms as customers.
  • There is no restriction on the number of accounts per household; however, each account must be registered to a unique individual with their own email address.
  • Accounts living in the same household (billing or shipping address) cannot refer one another under the refer-a-friend program.
  • Napiers reserves the right to refuse or revoke membership at its discretion, including in cases of suspected fraud, abuse, or breach of these Terms.

2. How to Join

  • You can join the Napiers Reward Club by creating a Napiers account via the My Account section at napiers.net, or by visiting napiers.net/pages/napiers-rewards-club.
  • You may also enrol in-store at our Edinburgh dispensary.
  • By registering, you confirm that the information you provide is accurate and that you accept these Terms and Conditions.

3. Earning Points

3.1 Earning Rate

  • Members earn 10 points for every £1 spent on eligible purchases made through napiers.net or in-store at our Edinburgh shop.
  • Points are calculated on the total transaction value after any applicable discounts but before delivery charges, unless otherwise stated.
  • Points apply to all products in the Napiers range unless excluded by a specific promotion or stated otherwise at the point of purchase.

3.2 Missions and Bonus Points

  • From time to time, Napiers may offer additional ways to earn points through “Missions”, specific actions such as signing up, writing a review, following Napiers on social media, or completing other activities as announced.
  • Bonus point events and Mission details will be communicated via the Program page and/or by email. Each Mission is subject to its own specific terms.
  • Napiers reserves the right to add, modify, or remove Missions at any time without prior notice.

4. Membership Tiers

Membership tier is determined by your total eligible spend within a rolling 12-month period. There are three tiers:

Tier Annual Spend
Forager £35 – £199
Herbalist £200 – £499
Master Herbalist £500 or more
  • Tier upgrades take effect as soon as the relevant spend threshold is reached. Tiers are reviewed and reset annually. If your spend in the preceding 12 months falls below the threshold for your current tier, your tier will be adjusted accordingly.
  • Tier-specific benefits (such as birthday gifts, free shipping vouchers, and exclusive access) are outlined on the Program page at napiers.net/pages/napiers-rewards-club and are subject to change with specific terms and conditions for each.

5. Redeeming Rewards

5.1 Available Rewards

Accumulated points can be redeemed for rewards including, but not limited to:

  • Discounts off future purchases
  • Free products
  • Free shipping vouchers
  • Birthday gifts (available to eligible tier members)
  • Exclusive access to events, products, or offers

The specific rewards available and the points required to redeem them are displayed in your account and on the Program page. Napiers reserves the right to change the rewards catalogue at any time.

5.2 Redemption Conditions

  • Discount rewards are typically subject to minimum order spend thresholds, which will be stated at the point of redemption.
  • Rewards cannot be combined with other promotional offers, discount codes, or vouchers unless explicitly stated.
  • Rewards are not transferable between members and have no cash value.
  • Points used for redemption will be deducted from your balance immediately upon redemption.
  • If a purchase for which points were redeemed is subsequently returned or refunded, Napiers reserves the right to recalculate and adjust your point balance accordingly.

6. Points Expiry

  • Points will expire if there has been no qualifying activity on your account for a continuous period of 12 months. Qualifying activity includes making a purchase or actively engaging with the Program (such as completing a Mission).
  • Upon expiry, all accumulated points in your account will be set to zero. Expired points cannot be reinstated.
  • Membership tier status is reviewed annually. If the spend threshold for your current tier is not maintained within the preceding 12-month period, your tier will be reset to reflect your actual spend.
  • Where possible, Napiers will endeavour to notify you by email before your points are due to expire, though we cannot guarantee delivery of such communications.

7. Account Management

  • You can view your points balance, tier status, available rewards, and account history at any time by logging in to your account at napiers.net or visiting napiers.net/pages/napiers-rewards-club.
  • It is your responsibility to ensure your account details are accurate and kept up to date. Napiers accepts no liability for points lost due to inaccurate account information.
  • If you believe there is an error in your points balance or that points have not been credited correctly, please contact us at advice@napiers.net with your order details. We will investigate and, where an error is confirmed, correct your balance.
  • Disputes regarding points balances must be raised within 90 days of the relevant transaction.

8. Account Closure and Removal

  • You may close your Napiers account at any time by contacting us at advice@napiers.net.
  • On closure of your account, whether at your request or as a result of removal by Napiers, all accumulated points will be forfeited and set to zero. Points cannot be redeemed during or after the closure process.
  • Napiers reserves the right to suspend or permanently remove a member from the Program at any time if we reasonably believe the member has breached these Terms, engaged in fraudulent or abusive behaviour, or otherwise acted in a manner inconsistent with the spirit of the Program.

9. Programme Changes and Termination

  • Napiers reserves the right to amend, suspend, or terminate the Napiers Reward Club, or any aspect of it, at any time.
  • Where Napiers intends to make material changes to the Program or to terminate it entirely, we will endeavour to provide at least 3 months’ notice to members via email and/or notice on the Program page at napiers.net.
  • Changes to individual reward values, Mission availability, tier benefits, or minor operational details may be made without prior notice and will take effect from the date they are published on the Program page.
  • Continued use of the Program following notification of any changes constitutes acceptance of those changes.

10. Fraud and Misuse

  • Points and rewards may only be earned through genuine purchases and legitimate Program activities. Any attempt to manipulate, exploit, or abuse the Program, including but not limited to creating multiple accounts for the purpose of accruing additional benefits, making fraudulent returns, or exploiting technical errors, is strictly prohibited.
  • Napiers reserves the right to void any points or rewards gained through misuse and to take appropriate action, including immediate removal from the Program.

11. Data Protection and Privacy

  • To operate the Program, Napiers will process your personal data including your name, email address, purchase history, and points activity. This processing is necessary to fulfil our contractual obligations to you as a Program member.
  • Your personal data will be handled in accordance with our Privacy Policy and applicable UK data protection legislation including the UK GDPR.
  • By joining the Program, you consent to receiving Program-related communications (such as points statements, tier updates, and expiry reminders) to the email address registered on your account. You may opt out of marketing communications at any time without affecting your membership.

12. Liability

  • Points and rewards have no monetary value and cannot be exchanged for cash under any circumstances.
  • Napiers accepts no liability for any loss suffered as a result of points expiry, account closure, changes to the Program, or inability to redeem rewards for reasons outside Napiers’ reasonable control.
  • Nothing in these Terms limits or excludes Napiers’ liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded or limited by applicable law.

13. Governing Law

These Terms and Conditions are governed by the laws of Scotland. Any disputes arising out of or in connection with the Program shall be subject to the exclusive jurisdiction of the Scottish courts.
